Business Administration Assistant 

List of key responsibilities:

  • Provide administrative support to the InSite team
  • Support and cover Document Control

 

Activities include:

  • Perform a variety of administrative duties to support various departments
  • Manage and organise meeting room bookings
  • Assist with online marketing and organising/ordering marketing literature
  • General office duties including dealing with telephone, email enquiries, filing and photocopying.
  • Participating in office meetings and taking meeting minutes
  • Provide feedback on office efficiency and suggesting possible improvements
  • Assist Business Performance Manager with compiling of management reports
  • Provide cover for Document Control 1 day a week and during holiday periods
  • Issuing documents to clients following all required standards.
  • Deliver technical documentation to the client as directed by the engineering team.
  • Maintain and update Master Document Index (MDI) and Supplier Document Index (SDI).
  • Monitor and update DCAMS email system and forward client’s returns to Project Managers.
  • Dealing with DCAMs queries and enquires effectively and efficiently.
  • Provide cover during absence or sickness.
  • Reasonable duties not listed that may be required from time to time.

 

Key competencies, skills and knowledge required:

  • A business administration degree would be preferred, but not essential
  • Proficient in using Microsoft office packages, specifically Word & Excel
  • Good written and verbal communication skills
  • Strong administrative and organisational skills with excellent attention to detail
  • Positive can-do attitude
  • Thrives in problem-solving, spotting challenges before they arise and proactively finding solutions

 

Requirements:

  • Full time 40 hours a week Monday to Friday 0830 to 1700
  • Minimum 3 years’ experience in business administration or document control (business administration degree would be advantageous)
  • Expected to manage your time well whilst using your own initiative
